[kvCORE - Admin] Roster Only and Inactive vs. Hide Agent

Learn what the Roster Only and Inactive status does and how it compares to the Hide Agent option.

Company and Office Admins have additional options when adding Agents and Lenders to their kvCORE account which include setting an Agent as 'Roster Only' and making them Inactive.

Please Note: Team Admins cannot make Agents 'Roster Only' and Inactive or use the 'Hide Agent' option. They will need to request that the appropriate Company or Office Admin make that change.

Roster Only and Inactive Status

The 'Roster Only' and Inactive statuses are essentially the same thing; once you set an Agent to 'Roster Only' they are marked as Inactive and their access to kvCORE is deactivated, meaning they will no longer be able to log into kvCORE and work their contacts if they had any.

Usually, an Agent is set to 'Roster Only' right after being added, preventing them from generating or importing leads into kvCORE in the first place. For more information on adding an Agent, click here. They will not take up a 'seat' or user license. This is optimal for newer Agents just coming into your brokerage or Agents who have decided to not use kvCORE anymore.

Roster Only and Inactive Status Effects

  • Agent cannot log into kvCORE.

  • Agent cannot receive or work leads.
    - Their name will still appear in any Lead Routing Rule(s) they may be a part of, but you will see the 'Inactive' status label under their name and kvCORE will skip them when rotating new leads.
    - 'Roster Only' Agents cannot be Shared on or Transferred leads.

  • Agent's website will be automatically deactivated. (If the Agent is re-activated, their original kvCORE website and information will automatically re-activate as well.)

  • Agent's kvCORE account will stop sending automated communications to any existing contacts. This includes, but is not limited to:
    - Smart Campaigns
    - Search Alerts
    - Behavior Alerts
    - Seller Reports

  • Agent will NOT appear on the Company and Office websites' Agent Rosters.

    โ€‹TIP: If you would like Roster Only/Inactive Agents to still appear on your websites' Agent Rosters, you can access each website's settings list and enable them to display.

Making an Agent 'Roster Only'

In order to set an Agent as 'Roster Only' you must first be logged into your kvCORE account.

  1. Click on your email address in the top right corner.

  2. Click on 'Agents' from the drop-down that appears.

  3. Click on the Agent's name that needs to be set as 'Roster Only'.

  4. Click on the Actions button to the right.

  5. Click 'Set as Roster Only' from the drop-down that appears.

Hide Agent Option

This setting gives Admins the opportunity to do the exact opposite of 'Roster Only'; hiding an Agent removes them from the Company and Office websites' Agent Rosters while still allowing that Agent to access kvCORE and all its tools.

Hiding Agents can be used for any internal-only users, like ISAs, Office assistants, and even Company, Office, or Team Admins that do not wish to display on the Agent Rosters.

Because using this setting only affects whether a user's profile appears on the websites or not, hidden users will still take up a 'seat' or user license in your kvCORE account. They will still have an active login to kvCORE, they can be assigned and work leads, and their website will remain unaffected.

Please Note: Hiding a user affects their profile display on all entity websites, so they will not display on the Company, Office, and Team websites you may have associated with your kvCORE account. Their profile will only appear on the Agent's kvCORE website.

Hiding Agents

In order to hide an Agent you must first be logged into your kvCORE account.

  1. Click on your email address in the top right corner.

  2. Click on 'Agents' from the drop-down that appears.

  3. Click on the Agent's name that needs to be set as 'Roster Only'.

  4. Click on the Actions button to the right.

  5. Click 'Hide Agent' from the drop-down that appears.

Please Note: Team Admins cannot Hide Agents so they will need to request this from the appropriate Company or Office Admin.

Hiding Lenders

Lender users can also be hidden from kvCORE websites following similar steps as when hiding an Agent.

Hiding Lenders allows you to add multiple Lender users to your kvCORE account while limiting who displays on the Finance page that automatically appears when you add the first Lender.

How to Hide a Lender

  1. Log into your kvCORE account.

  2. Click on your email address in the top right corner.

  3. Click on 'Lenders' from the drop-down that appears.

  4. Click on the Lender's name that needs to be set as 'Roster Only'.

  5. Click on the Actions button to the right.

  6. Click 'Hide Lender' from the drop-down that appears.

It is important to remember that hiding a Lender cannot be limited to a single website. When a Lender is hidden, they will no longer display under the Finance tab on any Company, Office, Team, and Agent websites.

This also means that any Agents who have selected that particular Lender as their preferred Lender partner in their profile will not see the Lender displayed under the Finance tab on their Agent website even if they have checked the 'Show on Agent Subdomain' box.

TIP: If you only have one Lender and don't wish for their profile to display on a particular website, you can simply hide the Finance tab on the website(s) instead of hiding the user completely. This allows other websites to still display them, like your Agents' websites.
