Overview

The Activity Stream is the first page you see when opening kvCORE. You can always come back to it by clicking 'Dashboard' from the main navigation on the left-hand side.

The 'Activity' tab shows a stream of events that are matched to the activity of your contacts in kvCORE.

If you click on a contact's name from one of the tiles in the Activity Stream, it will open their details page and the same activity will be reflected on their timeline, along with your notes and other details.

The top left of the Activity Stream gives you basic filtering options for you to narrow down to a type of activity if desired. 

The first dropdown menu allows you to select a scope. For example, if you are a Company Admin and only want to see the activity for a particular Office, you can use the menu to narrow the scope of activity to that particular Office.

The dropdown menu that reads 'All Activity' allows you to limit the type of activity to only show Texts, Emails, New Leads, Questions, and more.


The buttons are shortcuts for the most popular activity types. Instead of choosing an activity type from the dropdown menu, you can click the corresponding button for ease.


Utilizing the Activity Stream


Activity Types

These are the available filters you can select from the 'Activity' dropdown menu.

Property Views

Property views display some pertinent information on the tile.

  1. Contact's name.

  2. Time since the property was viewed.

  3. How many times this property was viewed by the contact on a desktop computer/laptop.

  4. How many times this property was viewed by the contact on a mobile device.

  5. Property address.

  6. Main property image.

  7. Actions: Send contact an email, initiate a phone call, send a text, or send a CORE Video

Hot Leads

In the case where there is a 'fire' or 'flame' icon on the property photo, it indicates a hot lead.

A hot lead is someone who has triggered 4 or more Behavioral Alerts. To learn more about Behavioral Alerts, click here.

With the hot leads filter selected, any combination of the other tiles may display. The tiles will be limited to showing your contacts who have generated 4 or more behavioral alerts in kvCORE. Behavior alerts are automated actions like messages that may be sent when a contact does something interesting.

Saved Properties

If a contact is not a 'hot lead' and they save a property, the heart icon will be visible on the top right of the listing image.

You can find your contact's saved properties in their contact record. Click 'All Activity' and select 'Properties - Saved' from the dropdown.

Questions

Questions will generate a unique email notification. The subject of the email will say: Question Received and the email will include the contact details, the property they're asking about, and their question.

Questions may be asked by contacts via your kvCORE website. Whenever they are viewing a property, there is a call to action where a question may be asked.

After they fill out their question into a form, it generates a 'Question' tile in your Activity Stream.

  1. Contact's name.

  2. How long ago the question was submitted.

  3. Address of the property the question references.

  4. Question contents.

  5. Answer button to reply to question.

Clicking the answer link will bring up a form to reply with. Simply type in your response and click send.

Once you have done so, the link will be marked as 'Answered.'

Showing Requests

Showing requests generate a unique email notification. The subject of the email will say: Showing Request Received the email will include the contact details, the property they'd like to tour, and their message.

Showing requests are similar to questions in the sense that they are sent via your kvCORE website, using the 'Go Visit This Property' button on your kvCORE website.

After they fill out the request form, a 'Requested Showing' tile is created in your Activity Stream.

  1. Contact's name.

  2. Time elapsed since request.

  3. The address associated with the request.

  4. Respond to request.

Clicking 'Respond' displays the response form.

  • MLSID - ID of the listing.

  • Date - Date which they would like to visit the property.

  • Waiting - Date the request was sent to you.

  • Question - Their message that s associated with the request. The message 'I'd like to see...' shown above is the default pre-filled message.

  • Does This Date Work? - Choose if the requested date will work or not. You can cancel the request, reschedule, or agree with the date.

  • Your Response - Enter a message to accompany your intent. If the contact has a phone number it will be texted. Otherwise, an email will be sent.

After clicking 'Send Response' the message is sent. The next time you look at your Activity Stream the showing request will not be visible. If you open the lead to review their timeline, the text or email and intent you specified will be shown as two separate simultaneous events.

Valuations

Valuations are potential home sellers who have attempted to get an automated valuation of their property on your kvCORE website. How this works in detail is explained here.

When a valuation is received, it is added to your Activity Stream.

  1. Contact's name, email, or property street address. (Depending on what information was gathered.)

  2. Full property address.

  3. Time elapsed since valuation was generated.

  4. Shortcuts to email, call, text, or send a CORE Video

    1. Please Note: Your contact will need to be subscribed to texts in order for the 'Text' shortcut to populate on the Dashboard tile.

New Leads

New leads are generated from various sources and sent to your kvCORE website, delivered to your kvCORE database via API or other software. They could also have come from advertisements linked to your website, or from lead routing via your Office/Team/Company websites. They specifically have the status of 'New Lead.'

Whenever a new lead is captured or delivered, you are notified as usual, and a new lead tile is also generated in your Activity Stream.

  1. New lead's name.

  2. How long ago they were created.

  3. New lead type (Buyer, Seller, Renter).

  4. Notes from the source, or details captured on your kvCORE website when they registered.

  5. Shortcuts to email, call, text, or send a CORE Video

    1. Please Note: Your contact will need to be subscribed to texts in order for the 'Text' shortcut to populate on the Dashboard tile.

New Texts

Text messages are typically received by your kvCORE smart number. If you're leveraging the automation that kvCORE offers, you will commonly see these responses in your dashboard. Additionally, if your smart number sends you a text notification, it will also show in your Activity Stream.

  1. Contact's name, number, or your smart number.

  2. Time elapsed since the text was received by your Smart Number.

  3. Contact information telling you who sent the message at what time.

  4. Text message contents.

  5. Button to send text message response.

New Emails

The emails that you receive within kvCORE are going to be one of two things.

  1. An email response from a contact to a message that was sent from within kvCORE.

  2. An email response from a contact that is synced to kvCORE from your Google or Microsoft account.

These emails will show on the contact's timeline, as well as in a tile on your Activity Stream.

  1. Contact's name.

  2. Time since email was received.

  3. Email subject.

  4. Email message/body.

  5. Link to open the full email. If you are synced then it will open the email in Google/Microsoft.

  6. Link to reply to email from kvCORE.

New Listings

Your new listings will be displayed on your dashboard under the 'New Listings' tile.

Email Events

  1. Lead name.

  2. Email Opened or Clicked through.

  3. Time the email was viewed.

  4. Shortcuts to email, call, text, or send a CORE Video

    1. Please Note: Your contact will need to be subscribed to texts in order for the 'Text' shortcut to populate on the Dashboard tile.


Your Company Dashboard Integrations (My Business)

Administrators can specifically add resources to the kvCORE dashboard for all logged-in users of their Company, under the 'My Business' tab.

These resources include:

  1. Announcements - Up to 6 Announcements may be embedded in the upper left corner of the dashboard that will be visible upon login.

  2. Company Video - Feature 1 embedded video for your business (A carousel of videos is not currently available)

  3. Company Cloud - Basic HTML Links to any resources (open in a new tab). This is also where your Company's SSO logins will be located. You can also add custom links for the convenience of your users/Agents.

  4. Company Blog - Embedded RSS feed (this requires an RSS URL).

Announcements

Six Announcements may be displayed for your users/Agents at the top center of their dashboard when they log in.

Click the 'Edit' link on the upper right corner to open the modal to add/remove/edit any announcements.

  • Enter the title for your announcement.

  • Enter the description of the announcement.

  • Enter a link (if desired) that will also be displayed in the announcement.

  • Delete announcements by clicking the 'x'

  • Add additional announcements using the 'Add Announcement' link

  • Always click 'Save' when you are done

Embedded Company Video

1. Go to YouTube or Vimeo to copy the link to the video you want to post. You must have the video uploaded to either YouTube or Vimeo.

2. On the 'My Business' tab click '+ Add Video'.

3. Paste your video link and be sure to select the correct source. Then click 'Save'.

4. After it takes a few seconds to load your video will be displayed. Use the Edit/Remove links in the upper right corner to modify the video.

Company Cloud

The Company Cloud consists of two sections:

  • Logins

  • Links

To manage the Links, you can click the 'Add/Edit' button.

Link Controls

  1. Re-Arrange the order in which links are displayed by using the arrows.

  2. Enter the name of the link that will be displayed.

  3. Enter the URL of the link.

  4. 'Display In Quick Actions' refers to whether or not you want your users/Agents to be able to access the link from 'Quick Actions' menu without having to click on the Company Cloud dropdown.

  5. Delete links by clicking on the 'x'

  6. Be sure to click 'Save' when you are done.

Blog Feed

The blog feed feature allows you to bring in any RSS Feed to embed it into your blog tab.

Depending on what your specific goal is, you may need to get an RSS version of your blog built. Most blogging platforms have an RSS functionality built-in by default, so it's simply a matter of finding the RSS icon (on your blog site) and clicking on it:

Normally, this will bring you to the nuts and bolts feed page.

This is an XML file, and that link you see at the top is the link we need to insert into kvCORE.

To Add a Blog Feed

First, in the blog section click 'Add Feed'.

In the modal that pops up, paste your RSS Feed Link, and click 'Save'.

After loading the blog posts will be visible under the 'Blog' tile.

Use the 'Edit/Delete' links in the upper right corner to correct a mistake in your URL or to remove it altogether.


What Is a Showing Request or Question?

Questions and showing requests that cap will generate a unique email notification. The subject of the email will say: New Lead w/ Showing Request - [Lead Name], or New Lead w/ Question - [Lead Name].

Questions

Questions may be asked by contacts via your kvCORE website. Whenever they are viewing a property, there is a call to action where a question may be asked.

Please Note: You will receive an email once the lead has been added to your Smart CRM and another with the details of their question.

After they fill out their question into a form, it generates a 'Question' tile in your activity stream.

  1. Contact's name. If they sign up from the Listing Details page, the name will be created from their email address. You can edit this from their contact profile.

  2. How long ago the question was submitted.

  3. Address of the property the question references.

  4. Question contents.

  5. Answer button to reply to question.

Clicking the answer link will bring up a form to reply with. Simply type in your response and click send.

Showing Requests

CASL Information

When a contact visits your website and initiates a Showing Request or Question, the contact will land within the dashboard as "Implied Consent".

  • You may want to add a hashtag to a contact that landed via a Question or Showing inquiry to remind you when their consent is almost expired

  • The date of the six months Implied Consent starts the day the contact is added manually into kvCORE

  • When the six months is up, the contact is unsubbed and a note is added to the timeline

How Does Lead Routing For Questions and Showing Request Work?

Agent Website

For questions and showing requests that come in on an Agent's website, the leads will always be directed to the Agent!

Please Note: When a New Lead wants to ask a question or request a showing they will have to register first. Once they register they can follow through.

Office/Company Website

Listing Details Page

When a New Lead asks a question or requests a showing from a listings details page, they will run through the lead routing rules. To learn more about lead routing click here.

Contact Us Page

When a New Lead uses the 'Contact Us' page from an Office or Company website they will first be routed to the entity email. The entity email is the email address in the Office or Company profile. If there is no email address in the profile they will be routed to the first Office or Company Admin that is not on vacation.


Where to Find Recent Activity

The Recent Activity window is located at the top of your kvCORE account and can be used to find all of your recent activity such as new contacts, sent emails/texts, added notes or hashtags, and more.

You can find the Recent Activity window by clicking the clock icon in the top right - when scrolling over the icon it will say 'Show Recent Activity'.

By clicking on the clock icon the Recent Activity window will become visible. From there you can see all activity and even go straight to the contact profile by clicking on the contact name.
