[BoldTrail - Admin] How to Set Up Routing Rules for Company, Office, or Team Zillow Leads

Learn how to set up lead routing rules for your Company, Office, or Team Zillow leads so they get assigned to the correct Agent.

Overview

If you are paying for Zillow leads at the Company/Brokerage, Office, or Team level you can easily integrate that outside lead source with BoldTrail so that those leads flow into your Smart CRM and are assigned to Agents to work.

Most of the time, Admins can simply let BoldTrail route the Zillow leads to any Agent according to the default lead routing rules and only need to set up the initial integration.

However, if you have a specific e-Leads team that handles all leads generated online or want to ensure that only a select group of Agents receive Zillow leads, you will need to set up a lead routing rule for these specific leads to be assigned properly.

Please Note: If you have Zillow routing new leads to a group of Agents you will need to turn off Zillow's routing feature in order for BoldTrail to route the leads. If you leave Zillow's routing on, BoldTrail and Zillow will assign the same new lead to a different Agent since the two platforms do not communicate their routing rule setup to each other.


Setting Up Company Routing Rules

A Company-level routing rule enables you to route the Zillow leads being generated to anyone in your entire account.

Only Company Admins are able to set up and adjust rules at this level.

In order to set up a lead routing rule for any source, a contact must already exist in your Smart CRM with that source. You have three choices when setting up a Zillow rule:

  1. Integrate Zillow and wait for a New Lead to come through.

  2. Integrate Zillow and push a fake lead through.

  3. Manually add a fake lead with the Source as 'Zillow Tech Connect'.

Regardless of the option you choose, the Source of 'Zillow Tech Connect' must already exist in your Smart CRM prior to creating a lead routing rule for Zillow leads.

1. Log into your BoldTrail account.

2. Click on your profile photo in the top right corner.

3. Click on 'Lead Routing Rules' from the drop-down that appears.

4. Check that the scope or "level" is set to 'Company' on the top left.

5. Click the green "+ New Rule" button on the right.

6. Fill out the fields that appear in the New Rule box.

7. For the Source field, choose the "Zillow Tech Connect" option that appears in that drop-down.

TIP: You can type 'Zillow' and pull up the matching source.

8. Once you are satisfied with the rule's setup, click the green "Add Rule" in the bottom left corner.

Adding a new routing rule automatically activates it so moving forward all New Leads from Zillow will be routed to the Agents added to the rule and only those Agents.

Setting Up Office Routing Rules

An Office-level routing rule enables you to route the Zillow leads being generated to anyone in that specific Office entity.

Only Company and Office Admins are able to set up and adjust rules at this level.

In order to set up a lead routing rule for any source, a contact must already exist in your Smart CRM with that source. You have three choices when setting up a Zillow rule:

  1. Integrate Zillow and wait for a New Lead to come through.

  2. Integrate Zillow and push a fake lead through.

  3. Manually add a fake lead with the Source as 'Zillow Tech Connect'.

Regardless of the option you choose, the Source of 'Zillow Tech Connect' must already exist in your Smart CRM prior to creating a lead routing rule for Zillow leads.

A Team-level routing rule enables you to route the Zillow leads being generated to anyone in that specific Team entity. All Admin types are able to set up and adjust rules at this level.

In order to set up a lead routing rule for any source, a contact must already exist in your Smart CRM with that source. You have three choices when setting up a Zillow rule:

  1. Integrate Zillow and wait for a New Lead to come through.

  2. Integrate Zillow and push a fake lead through.

  3. Manually add a fake lead with the Source as 'Zillow Tech Connect'.

Regardless of the option you choose, the Source of 'Zillow Tech Connect' must already exist in your Smart CRM prior to creating a lead routing rule for Zillow leads.

2. Click on your name in the top right corner.

3. Click on 'Lead Routing Rules' from the drop-down that appears.

4. Check that the scope or "level" is set to your Team's name on the top left.

5. Click the green "+ New Rule" button on the right.

6. Fill out the fields that appear in the New Rule box.

7. For the Source field, choose the "Zillow Tech Connect" option that appears in that drop-down.

8. Once you are satisfied with the rule's setup, click the green "Add Rule" in the bottom left corner.
