Our recent integration is aimed to:

  • Help brokers avoid double-entering transaction info, stop chasing agents for providing updated transaction details in multiple platforms, and better see conversion rates from lead to contract.

  • Let agents see all the client activity in one place without spreading their attention on multiple platforms.

  • Allows agents to keep track of their contacts on multiple platforms and get the true picture of their pipeline while having a single source of truth for all the data they need.

First time connecting BackOffice to BoldTrail

  1. Within your BoldTrail interface, go to Marketplace > BackOffice > Sign in

  2. Enter your BackOffice credentials, then click Add to BoldTrail.

  3. When all set, click Continue. You can either close the window or proceed with matching up your agents (next section).

How do I invite a BackOffice user to BoldTrail?

When your BackOffice<> BoldTrail integration is activated, admins can invite current BackOffice users to become agents in BoldTrail. This allows them to exist in both platforms and establishes a connection between them.

  1. Navigate to Users > selected user > three dots icon > Invite to CRM

  2. In an open modal window, complete all the required fields, which mirror the ones you fill out when adding a new agent through BoldTrail.

  3. When everything is set, click Invite to CRM button at the bottom of the window.

Now, the agent will appear in your BoldTrail workspace and will be matched with the corresponding BackOffice agent.

How do I invite agents to BackOffice from BoldTrail?

To invite the unmatched user to BackOffice:

  1. Go to Company Admin dropdown on the top-right corner of the page and click Agents.

  2. Select the needed agent(s).

  3. In an opened page, click the More Actions dropdown and select Invite to BackOffice.

  4. Then, you'll be prompted to select the BackOffice options for the selected Agents.

  5. Select the commission plan, onboarding checklist, and account owner. When all set, click Save.

Next, in your BackOffice Users tab, you'll see the new user, which will have the default set of permissions enabled. You'll also get an email about inviting selected users.

How do I invite BoldTrail contacts to BackOffice?

The flow is the same as with the agent:

  1. Go to Smart CRM, select the needed contacts, click More Actions and select Invite to BackOffice.

  2. Follow the same steps to select the BM account, assign a commission plan and onboarding checklist along with the account owner. When all set, click Save.

  3. You will see the invited BoldTrail contacts appear in your BackOffice company Users tab.

Match BoldTrail agents and BackOffice users

  1. Open your company admin dropdown at the top right corner and select Agents.

  2. At the right corner, click the blue BackOffice Matching button.

  3. In an opened window, you can select agents in the BackOffice Match column to be matched with the corresponding BoldTrail agent.

Please Note: if you select to match the agent that is already in use, the previous match will become empty.

You can also filter agents by their role or leverage the Suggest Match button, which will auto-suggest matching for the agents with the same name and email.

How do I re-match agents to BackOffice?

  1. Open your company admin dropdown at the top right corner and select Agents.

  2. At the middle of the page, click the More Actions dropdown and select Re-match Agents to BackOffice.

  3. Confirm whether you want to un-match the agents first before matching them again.

  4. Proceed with selecting the needed match for related BackOffice agents.

  5. When all set, click Save.

Create and kick-off a transaction from BoldTrail to BackOffice

  1. Within BoldTrail, go to Deals > + Create transaction at the top right of the page.

  2. Start with selecting the BackOffice Account (connect more subaccounts in Marketplace > BackOffice > Edit).

  3. Fill out all the required fields marked with asterisk (*).

  4. When all set, click Create. You will see the Transactions page with your recently created transaction at the top of the list.

  5. Open this transaction and click the View Transaction navigation link to proceed with adjusting it in BackOffice.

When integration is enabled, either the buyer role will be mandatory for your transaction if your company represents the buyer side, or the seller role will be mandatory if your company represents the seller side.

How do I pull listings from BoldTrail to BackOffice?

Within your BackOffice Transaction page, click Create transaction > Search MLS. In an opened modal window, enter the BoldTrail transaction name you want to pull to BackOffice. Click Select and complete all the needed steps through the regular transaction creation process.

Link BoldTrail contacts with BackOffice contacts

  1. Open the transaction and navigate the People section on the right side.

    1. Contacts that are not yet linked will be marked with a broken chain icon near their full name.

    2. Click this icon and, in the opened window, select the related contact you want to link. If needed, you can + Create Contact right there.

    3. When all set, click Link with selected.

How do I enable multi-account access from BackOffice to BoldTrail?

To integrate your BoldTrail account with your BackOffice master account and subaccount, follow these steps:

  1. Navigate to the Marketplace > BackOffice > Edit

  2. From here, the integration will vary based on your brokerage configuration:

    1. If you have access to only one BackOffice account, the integration process remains unchanged.

    2. If you have access to multiple BackOffice accounts, a new modal window will be displayed, listing each accessible BackOffice account, including master and sub-accounts.

  3. All set! Either proceed with the agent matching process or close the window.

After a successful connection, you will see all the available subaccounts when creating a BoldTrail transaction.

Please be aware that when attempting to match agents, you'll receive a warning tooltip if the agents are in subaccounts you cannot access.

How do I see all BackOffice transactions in BoldTrail?

Within the Transactions page of your BoldTrail account, locate the Source column at the right side of the table. BackOffice transactions will have the "BackOffice" label as the Source.

Note that company admins will see transactions in BoldTrail based on their BoldTrail permissions, not BackOffice ones.

Seamlessly navigate between platforms without entering credentials every single time

To provide smooth experience navigating between BoldTrail and BackOffice, we leverage the power of SSO (Single sign-on) links across the interface. SSO is a secure authentication method that enables users to securely authenticate with multiple applications and websites by using just one set of credentials.

They work as a 'magical key' allowing you to enter any platform's 'door' without entering the credentials each time. There are several places where you can seamlessly navigate between needed BoldTrail and BackOffice accounts.
