[BoldTrail] How to Create & Apply Hashtags

Learn how to easily create hashtags within your BoldTrail account to use as labels for further contact organization and filtering.

Hashtags are an efficient way to organize your contacts within the Smart CRM and allow you to quickly filter for a specific group of contacts in order to communicate with them or update their information.

Hashtags can also be used to trigger other actions and/or communications by BoldTrail. For a general overview of hashtags and to learn how to use them to trigger other actions, click here.

TIP: There is no limit to how many hashtags can be added to an individual contact and no limit to how many total hashtags you can create so you may have as many as needed in order to completely organize and label your book of business.

Manually Creating Hashtags

There are a few ways to manually create hashtags within your BoldTrail account. Regardless of how you create the hashtag, you will still be able to access all of the hashtags when applying a hashtag to a contact.

Please Note: Hashtags cannot contain any spaces when being created. For example, the hashtag will need to look like #In_Escrow or #FamilyFriend if it has more than one word; the underscore symbol acts as a space in the first example.

There is no limit on how many characters a hashtag can have, but it is recommended you only use up to 20 in order to avoid having ultra-long hashtags.

Please Note: The following special characters are not able to be used in hashtags !@#$%^&*()_+=`~/?.>,<\‘“{[}]|

Contact Record

The simplest way to create hashtags is by adding a new hashtag to a contact record. This will create the hashtag for future use as well as automatically apply it to that specific contact.

TIP: If you need to create a hashtag without applying it to a particular contact, you should use your test contact (a fake contact you create in the Smart CRM) to create these new hashtags.

1. Log into your BoldTrail account.

2. Navigate to the Smart CRM tab to the left.

3. Click on the contact's name that you would like to use to create the hashtag.

4. Click into the Hashtags menu.

5. Type in the new hashtag you would like to create.

6. Click 'Enter' or select from the dropdown.

You will see a note in the Timeline and the new hashtag will be displayed in the hashtag section to the left.

Contact Record Notes

Another way to easily create hashtags within a contact record is by using the "Add Note" option. If you are adding notes to a contact's record about a recent conversation or search result, for example, you can also add hashtags using that same note to automatically apply to that particular contact.

Please Note: If a hashtag is manually removed from a lead, adding a note to the lead with the hashtag will not automatically re-add the hashtag to the lead. You will need to use the 'hashtags' section to re-add the tag.

This is helpful if you use #Engaged or #Prefers_Texting labels to quickly determine a contact's engagement level or preference.

1. Log into your BoldTrail account.

2. Navigate to the Smart CRM tab to the left.

3. Click on the contact's name that you would like to use to create the hashtag.

4. Click on the yellow "Add Note" button in the top right corner.

5. Type your notes into the 'Note' box and add the hashtag you would like to create.

TIP: Always use the # symbol when creating hashtags using this method.

6. Click the green "Save" button.

You will see a note in the contact's Timeline and the hashtag will appear in the left-hand column under the Hashtags section.

Smart CRM Actions

In your Smart CRM under the 'More Actions' drop-down you are able to create new hashtags and mass apply them to multiple contacts.

1. Log into your BoldTrail account.

2. Navigate to the Smart CRM tab to the left.

3. Filter for the contacts you would like to apply the new hashtag to.

4. Check the boxes next to the names of the desired contacts.

5. Click on the 'More Actions' drop-down menu at the top of the contacts table.

6. Choose 'Add Hashtag(s)' from the drop-down menu that appears.

7. Type in the new hashtag you would like to create and press 'Enter' or select from the dropdown.

8. Click the green "Update Tags" button.

Automatically Creating Hashtags

In addition to manually adding hashtags to an individual contact or multiple contacts at the same time, you also have a few options for automating the creation of hashtags when using certain lead generation tools in BoldTrail.

This allows you to streamline your organizing process and removes a manual step on your end, thus freeing up additional time that you can then spend on nurturing your clients.

Squeeze Pages

When creating a squeeze page in BoldTrail, you can select an existing hashtag or create a new hashtag that will be automatically added to any leads generated from this specific squeeze page link.

There is no limit to how many hashtags you may select to be automatically applied, but you will generally want to apply 5 or less of the most important labels you use for new leads.

1. Log into your BoldTrail account.

2. Click the Lead Engine tab from the main navigation.

3. Select 'Build Squeeze Page'

4. Fill out all the fields to create your squeeze page, including the 'Hashtag' field.

TIP: You can click into the 'Select Option' drop-down to choose an existing hashtag or type in a new one to apply. Examples of good squeeze page hashtags are property-specific, area-specific, or even source-specific. For example, #123MainSt and #SPBronx (SP stands for Squeeze Page) are both great.

Landing Pages

Similar to squeeze pages you can create landing pages with hashtags that BoldTrail will automatically add to any leads registering from this page. This helps you automate your lead organization and allows you to quickly filter for leads generated from a specific page to 1) see how well that page is generating leads for your business and 2) send out mass communications related to why those leads registered.

1. Log into your BoldTrail account.

2. Hover over the Lead Engine tab to the left.

3. Select 'Build Landing Page'

4. Fill out the fields at the top of the page, including the 'Hash Tag (optional)' field.

TIP: You do not need to add the pound symbol "#" for your hashtags. If added it will display twice, ex: "##CarlsbadProp".

You can enter multiple hashtags into this field by separating them with a comma and no space. For example, the field should look like this: #Lender_Ad,#RealOneMortgage.

Zapier Integration

If you are using a Zapier integration to push leads into BoldTrail from an outside system, you can set up the Zap to send a hashtag along with the lead's information when pushing it into BoldTrail.

1. Log into your Zapier account.

2. Navigate to your Zap or create a new one.

3. In step two, when creating a contact in BoldTrail, enter your desired hashtag(s) into the 'Tags (Multiple)' field at the very bottom.

You do not need to add the # symbol in this field.

TIP: You can enter multiple hashtags into this field by separating them with a pipe and no space. For example, the field should look like this: ZapierLead|BuyerSC (SC stands for Smart Campaign. Hashtags are an easy way to remind yourself that a specific smart campaign should be assigned to this lead.)
