[Boldtrail - Admin] How to Create Entity Hashtags

Learn more about setting up company, office, and team-specific hashtags for your agents to use.

Overview

Hashtags are BoldTrail's version of labels within the Smart CRM. They can be used by both Admins and Agents to organize contacts within the Smart CRM for quick filtering and communication, triggering one or more additional actions within BoldTrail, and tracking Agents' follow-up actions, among other uses.

All types of Admins have the ability to preemptively create hashtags in BoldTrail that their Agents can use to categorize their contacts without having to create the hashtags themselves. This is an easy way to create entity-specific (Company, Office, or Team) hashtags that Admins may then use to track the leads generated by the Brokerage and/or Office when assigned to Agents.

Creating Entity-Specific Hashtags

Hashtags can only be created for each entity by the corresponding Admin, so Company Admins can create hashtags for the entire Company, each Office, and each Team.

Office Admins can create hashtags for their Office(s) and any Teams within an Office they oversee. Team Admins are able to create hashtags for only the Team(s) they lead.

Regardless of the entity, all hashtags tied to either the Company, Office or Team will appear at the top of any hashtags list for the Agents that are a part of that entity.

Company Hashtags

Creating Company-wide hashtags not only allow Admins to filter for Company-owned leads, but also provides an opportunity for the Admins to help their Agents get started by preemptively creating generic labels that they know their Agents regularly use.

1. Log into your BoldTrail account.

2. Click on your email address in the top right corner.

3. Click on 'Offices' from the drop-down that appears.

4. Click on the 'Company' tab to the right of the tabs that appear along the top.

5. Click on the 'Company Hashtags' button on the right of the Company profile.

6. Add the desired hashtags. There is no limit to how many you are able to create.

7. Click the green "Save" button on the bottom left.

Office Hashtags

Office-specific hashtags are a great resource to use if a particular Office's Agents use labels for their contacts that Agents in other Offices do not since only Agents within that Office will be able to use those hashtags.

Office hashtags will also come in handy when Admins wish to track leads generated by that particular Office. One example is for recruiting: simply set up an Office hashtag like #NewComptonRecruit and only the agent recruitment leads for that Office will be able to have that label applied.

1. Log into your BoldTrail account.

2. Click on your email address in the top right corner.

3. Click on 'Offices' from the drop-down that appears.

4. Click on the Office name that you wish to add the hashtags for.

5. Click on the 'Office Hashtags' button at the right of the Office's profile.

6. Add the desired hashtags. There is no limit to how many you are able to create.

7. Click the green "Save" button.

Team Hashtags

A pre-made #WilnardTeamLead or #WilnardTeamLeadGen label (where Wilnard is the name of the Team) that is specific to that Team will help Agents and Admins alike differentiate between Company, Agent, and Team generated leads.

1. Log into your BoldTrail account.

2. Click on your email address in the top right corner.

3. Click on 'Teams' from the drop-down that appears.

4. Click on the Team name that you wish to add the hashtags for.

5. Click on the 'Team Hashtags' button at the bottom of the Team's profile.

6. Add the desired hashtags. There is no limit to how many you are able to create.

7. Click the green "Save" button.
