How to Sync Tax 1099 to CORE BackOffce

Step 1: Go to ‘Settings’ from the main navigation on the left-hand side

Step 2: Select ‘Integrations’

Step 3: If you haven’t set up Tax 1099 integration then ‘Add Tax 1099’ will be visible on the right-hand side. If you have set up the integration you will see ‘Cancel Tax 1099 Integration’ and ‘View Payer TIN’.

Step 4: A login screen will appear where you can add your Tax 1099 credentials.

Please Note: You already need to have a paid Tax 1099 account in order to sync in CORE BackOffice. The email address for this Tax1099 account must be identical to the broker account email address in CORE BackOffice.

IMPORTANT: When a W-9 is requested you will be billed by Tax 1099. Please refer to your account for details.

There are 3 sections within the Tax 1099 integration which can be found under ‘Money’ > ‘Tax 1099 Integration’


Request a W-9

Please Note: There must be a pre-paid balance already on the Agent's Tax1099 account in order to request W-9s from your Agents.

Step 1: When requesting a W-9 find the Agent and click the envelope button on the right.

A popup will appear asking to confirm that you’d like to send an email to the Agent (using the email on file) with a W-9 reminder.

Step 2: Click ‘Send Email’.


Sync 1099 Data

For existing Tax1099 users who would like to import their data into CORE BackOffice, the process is seamless. Keep your data accessible and secure with the Tax1099 integration.

Step 1: From the Sync 1099 Data tab find the Agent whose info needs to be synced.

Step 2: From the ‘Action’ column click the sync icon

Please Note: You may only sync 1099 data once annually. Once it’s been synced, changes will need to be made from Tax 1099.

A popup will appear with the above information.

Step 3: To continue with the sync, click ‘Ok’.

Once data has been synced a green checkmark will appear instead of the sync icon.


After 1099 Data is Synced to Tax1099

After syncing your 1099 form data to Tax1099, log in to Tax1099.com. You will find all of the imported forms in the View/Edit/Submit (V/E/S) screen.

The Dropdown Menus

Once you get into the View/Edit/Submit screen, you will want to pay attention to the various Dropdown Menus towards the top.

  • Form: Select the Form Type for the 1099 data you synced.

  • Tax Year: Select the Form Years for the 1099 data you synced.

  • Payer: Select the Payer for your 1099 forms.

  • Form Type: Select Regular or Corrected forms.

  • Form Status: Select forms that are unsubmitted or have been sent to a reviewer and have been approved.

Form Info Grid

This section is where you will be doing most of your work. Here you can View/Edit/Delete forms that have been created but not yet submitted.

Here you can:

  • Edit or delete forms that have already been created but not yet submitted.

  • Preview the 1099 PDFs before submitting.

  • Download multiple 1099 PDFs or export the data to Excel.

  • Indicate if you want the 1099s to be sent to Recipients (Payees) through USPS Mail and/or email.

  • Request a TIN Match on a Recipient (Payee).

    • Please Note: If you select TIN Match on this page, it is recommended to set your scheduled date for some time in the future. Otherwise, you can request TIN Matches prior to filing via the Manage Recipients page under 'People' > 'Manage Recipients'.

  • Indicate if you want Tax1099 to file to states based on their requirements or not.

  • Set the Scheduled Date. The Scheduled Date is when Tax1099 will file the forms to the IRS and States.

    • Please Note: As soon as the forms are submitted through the Tax1099 platform, USPS Mail and email to the Recipient/s will start processing immediately regardless of the Scheduled Date.

History Logs

From the History Logs tab, you can view the Agent’s name, date, action, and status.

If there is an error sent from Tax 1099 you will be able to view it from within CORE BackOffice.

Reports - Agent 1099s Report

Step 1: Go to ‘Reports’

Step 2: Open the ‘Agent Reports’ tab

Step 3: Select ‘Agent 1099s Report’

Step 4: Select the year and Agent from the corresponding drop-down menus

Step 5: Click ‘Appy Filter(s)’


How to Fill Out Your W-9 (Agent)

Step 1: Login to CORE BackOffice

Step 2: Select ‘Settings’

Step 3: Select ‘1099 Settings’

Step 4: Select ‘Open in New Tab’

The W-9 will open in a new window with your name and address pre-filled for ease.

Step 5: Fill out the W-9 and press ‘Submit and Save a Copy’

A popup will appear asking you to confirm you’d like to submit the form.

Step 6: Select ‘Ok’

After the form has successfully been submitted a popup will notify you.

Step 7: Click ‘Ok’ to save a copy of the completed W-9.


Request a PDF

Request Single PDF

To request a single PDF you must enter the Form ID number from Tax1099’s side, select a Form Type, and select if it has been submitted to the IRS or not. The PDF will download to your device when ready. CORE BackOffice does not store sensitive documents in or by the database.

Request Multiple PDFs

For the initial request, you must select the Year, Form Type, and if it has been submitted to the IRS or not. If this is not a large request then the PDFs will download to your device when ready. CORE BackOffice does not store sensitive documents in or by the database.

If the request is larger and takes a long time, Tax1099 will send CORE BackOffice the Job ID for the PDFs. A pop-up will appear to inform you of the Job ID, and that the Broker will receive an email when it’s ready to collect. This message is also sent in an email to the Broker for their record.

Email Message

Request successful! Because your PDFs could not be generated immediately, Tax1099 provided the following message:

Job ID NUMBER

Be sure to save any Job IDs provided as you will need this to request the PDFs after they are ready.

Once the second email comes in letting you know the job is ready, please go back to the Tax1099 Integration page, and under 'Request Multiple PDFs' enter the Job ID number only (no other fields), Submit, and the PDFs will download to your device.

PDFs will only autosave to the user’s device, sensitive documents are not stored in/by the CORE BackOffice system.
